GUIDELINES FOR PREPARING e-POSTERS

Virtual workshops offer many benefits, including greater access and flexibility for participants with work or personal commitments that may have otherwise missed your presentation. To ensure CLW-ALC participants get the most out of the virtual experience, e-Posters will be made available on-demand on the workshop website, in addition to the 3 minute e-Poster lightning talk sessions in the scheduled workshop Zoom program.

On demand gallery

The e-Poster version that you submit will be made available on demand on the website, searchable by author, session, and keyword.

Recorded session
Please be aware that all workshop Zoom sessions will not be recorded.
Time allocation

Our e-Poster talk will be presented as scheduled. e-Posters are allocated 3 minutes.

Languages

e-Posters may be given in either English or French, in concordance with Government of Canada bilingualism policy.

Q&A

There is no time dedicated to Q&A discussion in e-Poster sessions, but participants will be encouraged to submit questions to chat which will be available to all session attendees, including poster presenters, and can be followed up through chat or after the session. Should time be made available, session chairs may invite and moderate a Q&A discussion.

Design

e-Posters should be designed for a 16:9 aspect ratio (landscape) with a minimum 18pt text, and a colour selection that will provide comfortable contrast with selections sensitive to colour-blindness. You are welcome to use our PowerPoint template, which includes further style and format tips.

File size

Maximum file size is 10Mb.

Guidelines for preparing Oral presentations

Oral presentations form the basis of the workshop and provide an opportunity for in depth talks. As with a physical meeting, each session will proceed in the order identified in the program and maintain the schedule. Oral presenters must present in person; pre-recorded presentations are not accepted. If you will be unable to present, please notify the organizing committee at asc.paelexploration-explorationleap.csa@canada.ca as soon as possible to delegate a new presenting author or withdraw your paper. We are requesting a copy of your presentation in advance of the workshop, so that this can be launched by the workshop technical team should you have technical issues at the time of your presentation. Oral presentation files will not be available to attendees on demand. However please be aware that workshop sessions will be recorded. Please see submission guidelines for presentations.

Time allocation
Oral presentations will be presented as scheduled. Oral presentations are allocated 12 minutes: 10 minutes for talk plus 2 minutes for questions.

Discussion sessions will be moderated by session chairs. Session chairs will monitor chat for questions, as well as moderate oral questions.

SUBMITTING YOUR e-POSTER / ORAL PRESENTATION

When your presentation is complete, follow these steps to upload it to the workshop website:

  1. Make sure your file is not password-protected.
  2. Make sure you do not exceed the maximum file size of 10Mb.
  3. e-Posters must be uploaded in PDF format. Oral presentations can be emailed as either the native PowerPoint file (.pptx) or PDF. We do not accept video-recorded presentations.
  4. The suggested name for your file is: {{FirstName}}{{LastName}}_{{AbstractID}}).pdf or .pptx
  5. The deadline for submissions is June 2, 2021 for e-posters and June 9, 2021 for Oral presentations. This allows e-Posters to be linked in the workshop program and gallery feature, and Oral presentations to be archived in case of need.
  6. To submit your e-Poster: Click the button below to submit your e-Poster through our submission and review platform. Use your abstract submission email as your username, scroll down to the bottom of your existing submission form and upload your e-Poster.
  7. To submit your oral presentation:
    • Login to Oxford abstracts using the same email used to submit your abstract
    • Edit existing submission
        1. Find the “view presentation file” question at the bottom of the submission form
        2. Upload presentation by clicking on the “Choose File (.PDF ONLY)” button
